Jehovah Saints Event Policy

At Jehovah Saints, all events are designed to glorify God, foster fellowship, and strengthen the faith of our congregation and community. This Event Policy ensures that all activities hosted or sponsored by Jehovah Saints align with our mission, values, and biblical principles while maintaining order, safety, and inclusivity.

1. Purpose of Events

Events at Jehovah Saints are organized to:

  • Promote spiritual growth and discipleship.

  • Encourage fellowship and unity among members and the community.

  • Serve as outreach opportunities to share the Gospel of Jesus Christ.

  • Support community service and charitable initiatives.

  • Celebrate milestones, holidays, and special occasions in a Christ-centered manner.

2. Types of Events

Jehovah Saints organizes and hosts a variety of events, including but not limited to:

  • Worship Services: Special services such as revivals, prayer meetings, and conferences.

  • Educational Events: Bible studies, workshops, seminars, and youth programs.

  • Fellowship Events: Church picnics, potlucks, holiday celebrations, and retreats.

  • Community Outreach: Food drives, clothing donations, and evangelism events.

  • Fundraisers: Events to raise funds for specific church projects or charitable causes.

3. Event Planning and Approval

All events hosted by Jehovah Saints must be planned and approved according to the following guidelines:

  • Event Proposal:

    • All events must be proposed in writing to the church leadership or Event Planning Team.

    • The proposal should include the event purpose, date, time, location, budget, and expected participants.

  • Approval Process:

    • Events must be approved by church leadership to ensure they align with the mission and values of Jehovah Saints.

    • Approval is based on the availability of resources, scheduling, and alignment with the church calendar.

  • Coordination:

    • Once approved, the Event Planning Team will work with the event organizer(s) to finalize details, allocate resources, and promote the event.

4. Event Participation

  • Inclusive Participation:

    • All events are open to members of Jehovah Saints and, where appropriate, the wider community.

    • Events should foster a welcoming and inclusive atmosphere, reflecting Christ’s love for all people.

  • Registration:

    • For certain events, participants may be required to register in advance. This ensures adequate planning for space, materials, and resources.

  • Code of Conduct:

    • All participants are expected to adhere to a Christ-like standard of behavior, showing respect, kindness, and consideration for others.

    • Disruptive or inappropriate behavior will not be tolerated and may result in removal from the event.

5. Use of Church Facilities

When events are held on church property, the following guidelines apply:

  • Scheduling:

    • Facility use must be scheduled in advance to avoid conflicts with other church activities.

  • Setup and Cleanup:

    • Event organizers are responsible for setup and cleanup, ensuring the space is left in its original condition.

  • Damage:

    • Any damage to church property must be reported immediately and may result in fees to cover repairs.

  • Prohibited Activities:

    • Activities that conflict with the mission and values of Jehovah Saints (e.g., alcohol consumption, inappropriate entertainment) are strictly prohibited.

6. Safety and Security

Jehovah Saints prioritizes the safety and well-being of all event participants.

  • Supervision:

    • Adequate adult supervision is required for events involving children and youth.

  • Emergency Preparedness:

    • Event organizers must have a plan in place for emergencies (e.g., medical issues, fire, severe weather).

  • Insurance:

    • Certain events may require additional liability insurance, as determined by church leadership.

7. Financial Guidelines

  • Budgeting:

    • All events must operate within an approved budget. Organizers should submit a detailed budget proposal during the planning phase.

  • Fundraising:

    • Fundraising activities must be approved by church leadership and comply with the church’s financial policies.

  • Reimbursements:

    • Expenses incurred for church events may be reimbursed upon submission of receipts and prior approval.

8. Promotion and Communication

  • Event Promotion:

    • All event promotions (e.g., flyers, social media posts, announcements) must be approved by the church leadership or Communications Team.

    • Promotions should clearly reflect the Christ-centered purpose of the event.

  • Communication:

    • Event details will be shared with the congregation through church announcements, newsletters, and digital platforms.

9. Cancellation and Rescheduling

  • Events may be canceled or rescheduled due to unforeseen circumstances (e.g., inclement weather, emergencies).

  • Organizers are responsible for promptly notifying participants and updating promotional materials in the event of a cancellation or change.

10. Biblical Foundation

All events hosted by Jehovah Saints are guided by biblical principles:

  • Colossians 3:17 (KJV): "And whatsoever ye do in word or deed, do all in the name of the Lord Jesus, giving thanks to God and the Father by him."
